Still red, checked 10/16: the receipt-history work (portal commits 97b66ee, 3dae406) sits on a side branch and is not on the live main. Invoice and receipt history stays empty; Cancel subscription and Update payment method were last recorded as not working on 10/13.
Jason already has his login (Kimi, 10/16). Still open from 10/13: one private temporary password per client account (Carl, Dr. Hall) handed over outside any document, then Carl's first sign-in proved.
No change recorded since 10/15. Jason needs direct monitoring access, a written escalation route, and one verified alert. The six-hour browser checks are not the operating monitor.
Yellow Needs a decision or proof
Approved by Kimi 10/16; Jason runs it. Moving from 2.38.5 to the current stable (three High advisories fixed in 2.43.5). Order: tryagain first and confirm its workflows run, then Carl, then Dr. Hall. Before each: fresh backup, release notes, restore steps ready; afterward update the restore helper's version pin, run a restore drill, and write the update steps into the runbook.
From Jason's review, 10/16: all three customers show "Active, $50" though only one Stripe subscription exists. Kimi, 10/16: Dr. Hall has not paid, so she should show $0 and unpaid; Kimi's own test subscription may have been canceled since, to be checked in Stripe. Dr. Hall's cost also reads $0 because her server is not reported, and "Current" version only means all match. Coolify shows a pending proxy restart on two servers (not an outage; restart needs Kimi's approval).
Approved 10/14 as the model. ClickUp holds the work (Own the Stack list), one task per case with subtasks. Decided 10/16: one list, OTS Service Desk (created by Kimi), split by type: Tickets, Job requests, Invoices, Onboarding. Setup and the n8n automation assigned to Codex 10/16. Open: Notion's role for tickets, weekend due date (assumed end of Monday), Stripe or GoHighLevel for job invoices. Open plans
Resend hit its daily limit on 10/13 after the alert flood. Not re-checked since. Password sign-in and temporary passwords now work without email, but email recovery needs one proven send.
The prepaid-balance block was removed 10/13. A full client quote approval has not been run yet.
Checked 10/15 from the code: a failed portal check never turns the Own the Stack card red or sends an alert; the header can read Operational while the card is red; Uptime Kuma itself is not watched. Fix needs Kimi's go-ahead.
Kimi approved it 10/16 as the planning page here. Open: building the Access tab in the team portal and who edits rows. Open page
Wording change to the subscription plus quoted services model. Exact text approved first.
Carl Gray is set up by hand. Dr. Hall's invoice is linked but unpaid (10/13). Open: which payment event starts the onboarding record, and Dr. Hall's workspace access after payment.
Slack, QuickBooks, Shopify, Meta, Pinterest, X, Trustpilot, Google/YouTube need registered developer apps. 30 tools already connectable (10/13).
They collect payment but write no receipt or subscription result into the portal yet. Tied to the billing branch above.
Her workflow list syncs to the portal (read-only, 10/13). Open: the connections credential inside her n8n, which changes her workspace and needs Kimi's OK.
Built and switched off. Decided 10/14: ClickUp holds the work, notices go to Agency OS (no email), tech tickets due in one business day, Ops sees all incidents. Open: Uptime Kuma's route into tickets.
Uptime Kuma must not share a quota path with portal sign-in or recovery messages. Destination still to pick, with no paid usage without approval.
One client password reset, then the client portal, team portal, support-ticket path, and Stripe-hosted billing page. Proof only; no payment, price, or subscription changes.
Patch ready on the side branch; merge only after the live billing symptoms are retested.
Dashboard access, what counts as an incident, escalation owner, and which monitor events become tickets. Checklist on the Plans page.
Green Working and verified
A real client signed in and saw the active subscription and next renewal.
Read-only, every 15 minutes. Carl's two workflows show by name.
Six-hour client and team checks plus the sign-in link check. Every run passing, last at 12:58 UTC / 8:58 AM ET.
New workspaces get it automatically. Carl's credential added with approval.
Reads agency@kimiwalker.com or help@kimiwalker.com.
uptime.ownthestack.io, secured.
The portal now has password sign-in, a visible Forgot password? path, and a page to choose a new password after the reset email.
Supabase is configured with no inactivity timeout. Password sign-in no longer depends on a new email for each portal visit.
Updates Newest first. Claude and Codex add a line when work moves.
- Kimi
Approved Jason running the n8n update. Dr. Hall has not paid and should show $0. Kimi's own subscription may have been canceled; to be checked.
- Claude
Posted Jason's technical oversight review (above) and added its two decisions to yellow: the n8n security update, and the Fleet board items that read greener than they are.
- Claude
Corrected: Jason already has his login (Kimi). The red row now covers only Carl's recovery proof.
- Kimi
Approved the manual client onboarding flow as drawn. Codex will set up the OTS Service Desk list and build its n8n automation.
- Kimi
Created the OTS Service Desk list in ClickUp. It holds tickets, job requests, invoices, and onboarding in one place.
- Claude
Kimi decided one ClickUp casework list, split by type: Tickets (errors and anything flagged), Job requests, Invoices (manual invoices sent), and Onboarding.
- Claude
Noted: ClickUp is where Own the Stack work lives, using the existing Own the Stack list. Kimi prefers one task per case with subtasks and as few places as possible.
- Claude
Every page now shows the same toolbar, with the current page highlighted. Plans updated with the decided team-notice route and the open Notion question. Page Guide linked from the main page and Plans. Em dashes removed.
- Claude
Took over Plans and Progress from Codex. Rechecked every row against the records, the live portal code, and today's portal check runs. Moved three resolved rows to the archive, moved sign-in email to yellow (not re-checked since 10/13), and added the four-workflow and Tech Hub gap rows.
- Codex
Added the four-workflow Plans page, the Jason monitoring handoff checklist, and a light/dark mode switch for the working document.
- Claude
Dr. Hall's 2 workflows now appear in the portal and refresh every 15 minutes, using read-only requests. Her workspace was not changed.
- Codex
Approved change log published to the Command Center. View All Changes now opens the 173-entry log; the live Command Center and log both loaded successfully.
- Claude
Rule recorded: Uptime Kuma never reports through Resend or email. Codex requests for the working doc and the change log are in the shared handoff queue.
- Claude
Manual clients row corrected: Carl Gray is already set up. Change log preview link: https://owner-hub-git-change-log-preview-kimi-walker.vercel.app/change-log.html
- Codex
Added the current account-access, password-recovery, billing-hardening, and monitoring-separation work. Password login and recovery are live; Jason's admin account and Carl's first recovery proof remain red.
- Claude
Working doc created in Own the Stack branding, with this updates area. Codex adds its yellow items next.
Archive Resolved rows, kept for history. Not active work.
- Claude
Clients cannot approve quotes. The prepaid-balance check was removed (change log, 08:20 UTC). The end-to-end approval proof stays open in yellow.
- Codex
Portal sign-ins do not last. Supabase set to no inactivity timeout; see Portal sessions in green.
- Codex
Change log publishing. All 173 entries published to the Command Center at 21:52 UTC, and now also in the Notion Change Log.
